Customization & Settings

We can customize the visual parts of:

  • the email templates sent to the client with the Public Link of the Package (from the Sending),
  • the Public Link itself, which is viewed by your client.

You can customize the default text of:

  • the email and the SMS templates sent to the clients and to the Models/Talents,
  • the Booking Confirmation, or any other Agreement’s generated document,
  • the invoices,
  • the statements.

We can add/edit fields from:

  • the Simple Events
  • the Advanced Events
  • the Booking Confirmation and other documents generated from the Agreement page
  • the invoices,
  • the statements.

Yes, you can have several templates for:

  • sending Packages (Sendings), including the information being displayed to the client on the Public Link (example: Name, Age, etc…)
  • for clients and Models/Talents notifications (SMS and emails),
  • for Booking Confirmation or any other documents generated from the Agreement page.

TIP: This is useful for multi-language clients. You can have a template in English and in French for example so you can reach your clients in their preferred language.

Definition

ITC Booking is a software as a service available online through a monthly or yearly fee according to the number of users bought by the client. Every client has a separate and secure environment. ITC Booking is specialized in modeling and acting agencies or any similar workflow. It allows users to:

  • manage their contacts as well as models, talents, comedians, etc., through an agenda using multiple events like castings, options jobs, etc.,
  • send packages containing a selection of models or talents (products) to their clients in order for them to select and approve the models or talents for the next step of the project (usually a casting, an option, or a job),
  • notify both the client and the models / talents by SMS or emails about the project or the event and record their participation or their absence to it,
  • print and send the job confirmations,
  • create the invoices for the client,
  • manage the expenses of the models and talents (or products),
  • track the payments of every project.

A Contact can be a person or a company. A Model/Talent is by extension a Contact too. So the same features apply to Models/Talents than to Contacts, like the Related Contacts, or Groups for example.

A product can be a model, a talent, a comedian, a hostess, etc… It is what your agency is using to make business with your clients. A product can contain personal information (same as the contact), physical information (example: “HAIR COLOR: BLOND”, “HEIGHT: 180cm”, “SHOE SIZE: 46”) languages (example: “POLISH: ADVANCED”), activities and skills (example: “football: PRO”), and other details (example: “ALCOHOL ADDS: yes”, “NUDE: yes”), photos, polaroids, videos and books.

You can create relationships between every Contacts, persons or companies, including Models / Talents since they are also Contacts by extension. For example: a person contact could be OWNER of a company contact. Or a person contact could be a brother of another person contact.

Groups help organizing your Contacts. Multiple Groups can be applied to the same Contact. You can have tons of them: some are generated automatically like “Person Contact”, “Company Contact”, “Model”, other can be added manually like “Client”, “Director”, “Partner”, “Brother”, “Sister”, …
TIP: Groups can save you time. For example: you can select a whole group in some cases, like as email addressee; or you can have Models/Talents in different Groups for faster searches, like “Models (TV Commercials)”, “Models (Plus Size)”, … They can also be used to show different Models/Talents categories on your website’s pages*.

In terms of features, both are the same, both can contain pictures. This is just a way to separate them visually into two different tabs. Photos as well as Polaroids can be added to a package or a book. They will still be visually separated. When printing composites, two separate options will be displayed in order to print either the Photos composite, or the Polaroids composite.

A book is a way to group Photos, Polaroids, and/or Videos. It could be similar to a computer’s folder, however it just contains the links to the pictures/videos and doesn’t re-copy the files. It is used as a shortcut for selecting the photos/videos of a product, or for organizing them.
Example: a book named “hands” could contain only the photos of a model’s hands and could be quickly added to a package when the client is looking specifically for hands models.
Another example: a book called “website” could contain the photos of the product that you want to display on your website.*

A composite is a file in PDF or JPG format that will contain all pictures of a product manually selected (by the user of ITC Booking, by the client from his public link, or from the website* by a regular visitor – if they are allowed to do that), or from a book previously created. The pictures inside a composite can be displayed currently in two different formats:

  • 1 picture per page
  • 4 pictures per page

These pictures will have a better quality than the ones displayed in the booking software or on the website*.

These are scheduled events for Contacts or Products of the following type:

  • Appointment: to schedule an appointment.
  • Application: to schedule a new model/talent application interview
  • Holidays: register the dates a contact (including a user) or a model/talent will be on Holidays

An Advanced Event is a service containing products offered by or to your agency that can be sooner or later be billed and invoiced for, or counted as an expense. For example: a Casting, an Option, a Job, a Fitting, an Expense, etc… So yes, a Package and an Expense are also Advanced Events, but they are hid from being displayed on the agenda. The Advanced Events are always part of an Agreement in order to facilitate joint operations.
TIP: If you need other types of Advanced Events or you want to customize the ones already existing (names or colors), this can be easily done by simple request.

A Package is a selection of Products (models/talents). You could think of it as a folder containing some of your models/talents pictures or videos that are ready to be sent to your client in order for him to select the ones he is interested in. You will then be able to view your client’s selection inside the Package directly and transform it into an Agreement to continue the process.

The Sending takes care of sending your Package to your client (yes, big surprise here…). It contains the email template with the Public Link that your client will receive (you can define multiple email templates an easily choose the one you want to use). You can also change the following options there:

  • Add the main pictures of the products directly inside the email: YES/NO
  • Allow the client to download pictures in HD: YES/NO
  • Edit your email text

Once sent, you will be able to see if/when your email was viewed and if/when your client answers to it by making a selection on the Public Link. You can receive multiple answers to your Sending. For example if a client wants to add something to his answer, he can re-submit his selection. You can then decide which one to keep.
TIP: Multiple Sendings can be created from the same Packages. This allows you to send your Package multiple times to different addressees.

The Public Link is a link that is generated when creating a Sending and added by default to the email sent to the Client. By clicking on this link, your client can access your Package in order to make his selection. The link is randomly auto-generated and doesn’t require any password. It is similar to what Google Drive uses for sharing its file, so it is accessible to anybody with the link.

An Agreement (you could also call it a project) englobes all kind of Advanced Events that are part of the same service or project that was requested by your client. For example: an Agreement can contain a Package, a Casting, an Option and a Job that were all part of the same request made by a client who wanted models for an add for Coca-Cola. This facilitate sharing the information between all those events or steps of the Agreement. Once the Agreement is set as “Ready to bill”, the invoicing can start.
The Agreement can be created from an existing Package and any other Advanced Event, or as a standalone. In that case, when you’ll add Products (models/talents) to an Agreement, you will be prompted to choose which Advanced Event they should be part of.

A Booking Confirmation is a document file (in a Word .DOCX format) that summarize the Agreement between your client and your agency. You can generate them from the Agreement page.
TIP: If you need more documents to be printed from the Agreement page, like a Voucher for example, we integrate that.
